Before any build
Start by putting a dollar figure on the problem.
The Check shows what's sitting in your quotes and invoices and how much time quoting takes. It tells us both whether a build is worth it, and which stage to start with.

- Quotes that went quiet. Open quotes more than 14 days old, ranked by value, with job numbers.
- Finished jobs not invoiced. Work that's done but never billed, and how many days jobs usually wait for an invoice.
- Invoices running late. Overdue invoices by age, and where Xero and your job software disagree about what's been paid.
- Hours spent quoting. Roughly how many hours a week you and your team spend building quotes, and where it goes.
The refund test
If it doesn’t find at least three items of A$500 or more, or A$2,000 in total, you get your A$495 back. Credited in full to your first build stage if you go ahead within 30 days.

Your rules, job types, margins, payment stages and the things people usually miss are written down. Your team can read them on a phone. The assistant reads them every time it works.

You review one page and approve it. Every line shows where its price came from. Your corrections teach the brain, so the next draft is closer to yours.

Stage 3 · Prices gathered while you work
Supplier prices
Price requests go out during the day, so the answers are there when you sit down at night.

Suppliers and subbies are closed by the time you get to the computer. Someone phones around in the day.

Once you approve a scope, the assistant asks your suppliers and subbies for prices from your own email address. Replies are filed against the quote with the source and the date, and your own price list grows as it goes.

Stage 4 · Which jobs actually make money

You find out how a job went months later, if you find out at all.

Each approved quote becomes the job budget. The assistant reads Xero each night and compares real costs. You see the problem while the job is still running, not at tax time.

I publish the Check price. Build prices depend on your business, so each stage is quoted as a fixed price after the Check, before any work starts.

Monthly service

You keep paying your own software subscriptions (your job software and Xero) directly, and I never resell them or earn a commission on them. If the assistant runs on your own AI account, you pay that provider directly too. I’m not registered for GST, so no GST is added to my prices.

I'm taking on three founding clients in South-East Queensland. You get founding client pricing on every stage. In return I ask for honest feedback along the way and, if you're happy with the results, permission to share them. You approve every word before anything is published.
There are no client reviews on this site yet, because I won’t make them up. The first ones will be real, named and approved by the client.

Ground rules
You approve everything
Nothing reaches a client, and nothing gets paid or signed, without a person saying yes. The assistant drafts. You decide.
No price without a source
Every price traces back to a supplier list, a supplier reply, your rate card or a number you typed. If it can't trace a price, it stops and asks. It never guesses a price or measures from a photo.
Your data stays yours
Xero, the business brain, your price lists and your phone number stay in your name. Leave with 30 days' notice and take a full export.
It doesn't talk to your customers
The assistant doesn't message or phone your customers. It drafts wording for you, and you send it from your own email or job software, when you choose.
Pay per stage, once it's live
Each stage has a fixed price, quoted before we start. You pay for a stage when it's live and working. If it takes me longer, that's my cost.
Small and local on purpose
I cap Officehand at five clients so each one gets proper attention. I'm on the Sunshine Coast and will come to you anywhere in South-East Queensland.
Do I have to buy all five stages?
No. Each stage is useful on its own, and you can stop after any of them. Most businesses start with the business brain and the quote builder.
How long does a build take?
Each stage takes about two to six weeks, depending on the stage. The quote builder runs side by side with your normal quoting for a month before you rely on it.
How much of my time does it need?
About four hours for the business brain sessions in Stage 1, then 15 to 20 minutes a night approving drafts once the quote builder is live. Corrections teach the brain, so it needs less from you over time.
Which AI does it use?
A mainstream AI model, set up so it reads your business brain and your own price sources. Where it makes sense, the AI runs on your own account so the costs and the data stay in your name. The maths, prices and names are filled in by ordinary code, not by the AI.
What does the monthly service fee cover?
Once the assistant is live, a monthly fee covers hosting, backups, connections such as Xero, updates and fixes. It's month to month, with 30 days' notice either way. The exact amount is quoted with your first stage.
What happens if you get sick or stop trading?
Your data and the business brain are in your name, so nothing is held hostage. You get a full export and a one-page hand-back note covering what to switch off, and your job software and Xero carry on as before.
